Türkiye sits within a few hours' flight of Europe, the Middle East, Central Asia and North Africa, and Istanbul is home to one of the largest airline networks in the world. For an international company this means participants from many countries can reach the same venue on direct flights. Hotel capacity is large, event suppliers are experienced and the destinations range from a megacity to the Mediterranean coast. That is why companies choose Türkiye for dealer meetings, sales kick-offs, regional conferences and incentive trips. We run these events from our Istanbul office, and this is how we plan them.
Choosing the destination
Istanbul. Best for conferences, regional meetings and events where access matters most. Two international airports, large congress centres, city hotels with ballrooms, and evenings on the Bosphorus. Traffic is the main constraint, so venue and hotel should be in the same area or linked by a short transfer.
Antalya and the Mediterranean coast. Large all-inclusive resorts with conference halls for several hundred people, beaches and golf. Ideal for incentive trips and meetings combined with leisure from April to November. Antalya airport has direct flights from many European cities in season.
Cappadocia. Cave hotels, hot air balloons at sunrise and valleys of rock chimneys. Best for smaller incentive groups and executive retreats rather than large conferences. Reached via Kayseri or Nevşehir airports, about 1 hour 15 minutes from Istanbul.
Combinations. A common format is a two-day meeting in Istanbul followed by a reward extension in Cappadocia or on the coast for top performers.
Visas for participants
Many nationalities enter Türkiye visa-free or with an e-visa, while others need a consular visa. Check each participant's nationality early against the official information on the Turkish Ministry of Foreign Affairs website and evisa.gov.tr. For participants who need a visa, we prepare invitation letters and a programme summary to support their application.
Timing
| When | What to do |
|---|---|
| 5-6 months ahead | Destination, dates, participant numbers, budget frame |
| 4 months ahead | Hotel and venue contract, flight planning by origin city |
| 2-3 months ahead | Invitations, registration, visa letters, activity choices |
| 3-4 weeks ahead | Final rooming list, transfers, stage and technical brief |
| On site | Airport meet and greet, registration desk, one coordinator |
Avoid dates that clash with major religious and public holidays and with big trade fairs in Istanbul, when hotel prices rise sharply.
Activities that work well
- A private dinner cruise on the Bosphorus.
- A hot air balloon flight in Cappadocia (weather dependent, always with a backup plan).
- A Turkish cooking workshop or a guided walk through the historic peninsula.
- A gala dinner at a historic venue or a waterfront mansion.
- Team activities on the coast: sailing, beach games, a private boat day.
Budget
Build the budget per person: flights (the most variable item, depending on where participants come from), accommodation, meeting package, meals and gala, activities, transfers, production and on-site staff, plus a contingency of 8-10 per cent. Quotes in euros are common for international events and give you protection against local currency movements.
Why work with a local agency
A local partner negotiates hotel blocks and attrition terms in the local market, knows which venues deliver on the day, handles transfers and guides in several languages, and is on the ground if something changes. Seda Mice is the events brand of Seda Turizm, a TÜRSAB A-group and IATA accredited agency based in Istanbul, and we work in Turkish, English and Arabic.
