Organising a Dealer Meeting: From Destination Choice to Budget, Step by Step
How to set goals, destination, hotel, programme and budget for dealer meetings and sales team events, with per-person cost items and common mistakes.

A dealer meeting is the event where a company brings its dealers, distributors or sales team together once or twice a year. New products are presented, targets are shared and the relationship is refreshed. A well-designed dealer meeting carries sales motivation for months. A poorly organised one leaves a group waiting in a hotel lobby and an exhausted marketing team. This is the framework our MICE team has drawn from the events it runs.
Start with the goal and the participant profile
Before looking at destinations, three questions need clear answers.
- What is the purpose? Product launch, annual review, awards and motivation, training, or a mix. The purpose sets the pace of the programme and the type of venue.
- Who is coming? Number of participants, whether partners join, age profile, the cities they come from (which sets transport costs) and names needing VIP protocol.
- How will you measure it? What counts as success afterwards: attendance, a satisfaction survey, order growth in the next quarter.
Quotes taken without these answers cannot be compared, because each supplier prices a different assumption.

When choosing dates, check sector fairs, public and religious holidays, school holidays and big events at the destination. A single overlap can double the hotel price.
Choosing the destination
Domestic or abroad? A domestic event carries no visa, currency or logistics risk and attendance is high. Abroad has a stronger motivation and prestige effect, but the visa calendar and cost volatility make planning harder. If the dealer network is mainly in Anatolia, well-connected hubs such as Antalya, İzmir, Bodrum, Cappadocia or Istanbul are often the most efficient choice.
Hotel or separate venue? Having accommodation, meeting rooms and meals in the same property simplifies both cost and operations. If the gala dinner is at an outside venue, you need a transfer plan and a weather backup.
Shortlist method: Get quotes for two or three destinations with the same template (dates, number of people, room types, room set-up, number of meals). Quotes based on different assumptions are misleading.
Designing the programme
- Keep meeting blocks in the mornings. Afternoons for free time or activities, evenings for the gala. Attention drops in the afternoon.
- In a two-day programme leave a single "main stage" moment: the launch or the awards. Turning every session into a big show reduces its impact.
- Make free-time activities optional with two or three choices. Putting everyone on the same boat does not always work.
- If partners attend, plan a separate programme so it is clear what they do during meetings.
Budget: per-person cost items
Building the budget per person rather than as a total makes recalculation easy when the number of participants changes.

When comparing quotes, check line by line whether taxes, service charges and cancellation terms are included.
Contracts and cancellation terms
- The hotel contract must state the guaranteed room count, the name list deadline, the free reduction rate (attrition) and the tiers of cancellation penalties.
- For flight blocks, get name change and refund terms in writing according to the airline's group fare.
- With outdoor venues and technical suppliers, clarify weather and force majeure clauses.
On the day
There should be one coordinator on site and a written running order: who, when, where. The registration desk, transfer tracking, room preparation and the emergency contact chain are part of this plan. A one-page programme sent to participants (flight, hotel, transfer, daily schedule, contact number) prevents most questions on site.
Afterwards
Within two weeks of the event, send a short satisfaction survey, an itemised cost report and share photos and videos. The report is the most reliable source for next year's budget.
